When not to bother

If there are fewer than five of you and admin takes about an hour a day, there probably isn’t enough here to be worth mapping, and we’ll say so. If you already know exactly which job you want automated, skip the audit and just ask us to build it. And if your processes only exist in your head, we’ll tell you to go and write them down first.

Will AI be giving advice?

No. Advice is a regulated activity and it stays with the adviser. Everything in the plan stops at the point a recommendation begins: collecting, chasing, drafting, summarising and reminding. If a recommendation is involved, it is not in scope.

Will client data end up in a public AI tool?

Every recommendation states what data it touches and where that data ends up. Keeping client information inside systems you already control is the default, and anything that would move personal or financial data somewhere new is flagged, with the alternative, before it reaches the plan.

How does this sit with the FCA and Consumer Duty?

The plan treats your compliance obligations as a constraint rather than an afterthought. Automating file assembly and evidencing usually improves the audit trail, because a machine does not forget to attach the document. What it never does is make the judgement the rules require you to make.

Does any of this work with Twenty7Tec, Acre or Smartr365?

That is one of the first things we check. Some of it is the API, some is a feature your system already ships that nobody switched on, and some is email and a shared sheet joined up properly. Where your system will not do something, the plan says so rather than pretending.

Will it contact my clients without me seeing it?

Only where you decide it should, and never on a decline, a delay or anything a client might reasonably be upset by. Most brokers start with drafts a person sends, then let the routine document chasers go on their own once they have watched them for a few weeks.

We are a two-person firm. Is there enough here to be worth it?

Usually yes, because in a small firm the admin lands on the person who should be advising. If you write a handful of cases a year alongside something else, we will probably tell you to save your money.

How long before something is actually running?

The plan lands about two weeks after the call. Most brokerages have the first automation live within a week of that, because the first one is usually document chasing and that does not need anyone to change system.

Do you build it, or just tell us what to build?

Either. The plan is yours to take to anyone, including your network or whoever supports your CRM. If you would rather we set up the first two, that is a separate job and you decide after you have read the plan.
